PilotAudit respects the privacy of customer records and understands that pilot logbooks and aviation documents may contain personal, professional, and identifying information.

This Privacy & Data Handling Policy explains how PilotAudit collects, uses, stores, and handles customer information.

1. Information We Collect

PilotAudit may collect information provided by the customer, including name, email address, phone number, billing information, order details, pilot logbook files, scanned records, photos, PDFs, digital logbook exports, aircraft information, flight time records, endorsements, notes, and other documents submitted for review, conversion, formatting, printing, or related services.

PilotAudit may also collect basic website, payment, and communication information through website hosting, payment processing, analytics, email, upload forms, and related third-party tools.

2. How We Use Information

PilotAudit uses customer information to process orders, communicate with customers, review submitted records, perform logbook audits, convert records, format files, prepare printed products, provide customer support, improve services, and maintain business records.

PilotAudit does not sell customer logbook records or submitted aviation documents.

3. File Storage and Access

Customer files may be stored using secure third-party platforms such as website hosting providers, form upload tools, cloud storage providers, payment processors, email providers, printing vendors, and shipping providers.

Access to customer files is limited to individuals or vendors who need access to complete the purchased service, provide customer support, process payment, print materials, ship products, or operate the business.

4. Third-Party Vendors

PilotAudit may use third-party vendors for payment processing, website hosting, file uploads, cloud storage, email communication, printing, shipping, and related business services.

These vendors may process information as necessary to provide their services. PilotAudit selects vendors intended for legitimate business use but cannot guarantee the security practices or performance of every third-party provider.

5. Data Security

PilotAudit uses reasonable administrative, technical, and organizational safeguards to protect customer information.

No website, email system, upload form, cloud platform, or digital storage method can be guaranteed to be completely secure. Customers should avoid submitting unnecessary sensitive information that is not needed for the service.

6. Data Retention

PilotAudit may retain customer files and project records for a reasonable period after service completion for quality control, customer support, business records, dispute resolution, tax/accounting purposes, and legal compliance.

Customers may request deletion of project files by contacting PilotAudit. Some records may need to be retained for legal, accounting, payment, dispute, or business purposes.

7. Customer Responsibility When Uploading Files

Customers are responsible for submitting complete, accurate, and readable records.

Customers should avoid submitting documents or information that are not needed for the service. If unnecessary sensitive information is included in uploaded files, PilotAudit may still receive and process those files as part of the order.

8. Sharing of Information

PilotAudit may share customer information only as needed to complete the service, operate the website, process payments, communicate with the customer, print materials, ship products, comply with legal obligations, prevent fraud, protect rights, or respond to lawful requests.

PilotAudit does not sell customer-submitted logbook files.

9. Customer Requests

Customers may contact PilotAudit to request access, correction, or deletion of certain project files or personal information.

Requests may be limited where PilotAudit must retain information for legal, accounting, payment, dispute, or business purposes.
